Non-work related communications should be directed to the <a href=\"https:\/\/sciences.ncsu.edu\/intranet\/sciences-social-email-list\">Sciences Social Email List<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Mass communication<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">As a matter of principle,&nbsp;<strong>send email to the smallest number of people necessary to reach the required audience.<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list is-style-padded-list\"><li>Avoid sending information to the Sciences faculty, staff, postdocs, and student lists unless you need to communicate important information to the entire college or to a large portion of it<\/li><li>Use departmental email lists to target particular departments<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">College-wide email lists<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">College-wide email lists may only be used for announcements from the College leadership team.<\/p>\n\n\n\n<ul class=\"wp-block-list is-style-padded-list\"><li><strong>Authority<\/strong> to post to those lists is limited to the Dean, associate deans and assistant deans, the director of marketing and communications, and the director of IT<\/li><li><strong>Access<\/strong> to post is limited to these individuals, their executive and administrative assistants, and IT staff who can help in an emergency<\/li><li>These lists include sciences-faculty, sciences-staff, sciences-postdocs, sciences-gradstudents, and sciences-undergraduates\n<ul>\n<li>These lists are automatically maintained using ListMinder and are based on Peoplesoft HR and SIS data<\/li>\n<li>Individuals whose primary college or departmental affiliation in Peoplesoft is <strong>not<\/strong> in the College of Sciences will <strong>not<\/strong> be automatically added to these lists, and will need to be added by hand. Send email to <a href=\"mailto:help@sciences.ncsu.edu\">help@sciences.ncsu.edu<\/a> for assistance and include the person&#8217;s Unity ID<\/li>\n<\/ul>\n<\/li><\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Examples of appropriate use:<\/h4>\n\n\n\n<ul class=\"wp-block-list is-style-padded-list\"><li>Announcements about opportunities for funding academic and professional activities<\/li><li>Academic and professional awards received by members of the College of Sciences community<\/li><li>College-sponsored or endorsed events and activities<\/li><li>Information about College meetings<\/li><li>Greetings from the Dean<\/li><\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Examples of inappropriate use:<\/h4>\n\n\n\n<ul class=\"wp-block-list is-style-padded-list\"><li>Posting messages not approved by an individual with the authority to post as described above<\/li><li>Announcement about activities not sponsored or endorsed by the College<\/li><li>Fundraising solicitations unless approved ahead of time by Advancement<\/li><li>Informal social activities such as office potlucks or holiday celebrations unless sponsored or endorsed by the College<\/li><li>Information that does not apply to the whole college or a large portion of the members of the email list<\/li><li>Political discussions, political fundraising, or any other activity prohibited under&nbsp;<strong>POL 05.00.04<\/strong>&nbsp;\u2013&nbsp;<a href=\"https:\/\/policies.ncsu.edu\/policy\/pol-05-00-04\/\">Political Activities<\/a><\/li><li>Private sales or commercial activities prohibited under&nbsp;<b>REG 08.00.02<\/b>&nbsp;<a href=\"https:\/\/policies.ncsu.edu\/regulation\/reg-08-00-02\/\">Computer User Regulation<\/a><\/li><li>Activities or information designed to promote religious beliefs, consistent with <a href=\"https:\/\/files.nc.gov\/ncoshr\/documents\/files\/Community_Service_Leave_Policy_1.pdf\">State Human Resources Manual<\/a>&nbsp;policy on community service leave<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Departmental email lists<\/h3>\n\n\n\n<ul class=\"wp-block-list is-style-padded-list\"><li>Lists maintained by departments may be used according the department&#8217;s own procedures in accordance with university policy<\/li><li>Lists maintained by the College of Sciences may be used by college administration, department heads, and their designees under the same guidelines as college-wide email lists<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Social communications<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Use the <a href=\"https:\/\/sciences.ncsu.edu\/intranet\/sciences-social-email-list\">Sciences Social Email List<\/a> for non-work related communications<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Requesting automatically maintained email lists, Google Groups, and traditional email lists<\/h3>\n\n\n\n<ul class=\"wp-block-list is-style-padded-list\"><li>You can request a new Google Group or email list by sending an email to <a href=\"mailto:help@sciences.ncsu.edu\">help@sciences.ncsu.edu<\/a><\/li><li>Automatically maintained email lists can be created based on certain information in the Peoplesoft HR or SIS systems<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Related PRRs<\/h3>\n\n\n\n<p class=\"entry-title wp-block-paragraph\"><strong>REG 08.00.02<\/strong> &#8211;&nbsp;<a href=\"https:\/\/policies.ncsu.edu\/regulation\/reg-08-00-02\/\">Computer Use Regulation<\/a> governs mass email communication.
